What Ledger Labs does
Most growing companies do not have a bookkeeping problem. They have a nobody-senior-is-watching problem — and it only shows up once the money has already moved.
Since 2014 we have built the finance function for more than two thousand owner-operated businesses: clean books, a close you can set your calendar by, and someone qualified reading the numbers before you have to act on them.
Revenue is up. So why is it tighter than last year?
Four things go wrong in almost every business we take on. None of them are visible in a bank balance.
Profit you can't locate
Sales grow, the bank balance doesn't. Nobody can say which products, channels or contracts are actually carrying the business, so you keep funding the ones that aren't.
A close you can't trust
Numbers land six weeks late and get restated afterwards. By the time the picture is accurate, the decision it was meant to inform has already been made.
Cash that arrives out of order
The profit and loss statement looks healthy and the next inventory buy still has to wait on a receivable. Profitable on paper, tight in practice.
Tax found too late
Deductions missed, exposure surfaced at filing, penalties for something a proactive review would have flagged eight months earlier.
One team for the whole finance function
Four layers, delivered together. You are not stitching a bookkeeper, a tax preparer and an advisor into something that resembles a finance department.
Clean, reconciled and on a fixed monthly calendar, with a dedicated bookkeeper who knows your business rather than a queue that reassigns you every quarter.
- Transaction categorisation and reconciliation
- Accounts payable and accounts receivable
- Payroll processing and records
Month-end close owned end to end, on accrual basis, so the statements describe the month they belong to instead of the month the cash happened to move.
- Month-end close on a committed date
- Management reporting pack every month
- Inventory and cost-of-goods accuracy
The part most firms leave out: someone senior reading the numbers forward instead of backward, and telling you what to do about them.
- Margin analysis by product, channel and contract
- Cash forecasting and scenario planning
- Pricing, fundraising and exit preparation
As a CPA and IRS Enrolled Agent firm we map the full tax picture during the year, not in the week before a deadline, so exposure gets flagged while there is still time to act on it.
- Federal, state and local filings
- Year-round exposure review
- Deduction and credit identification
“Ledger Labs really took the bull by its horn. They understood our business better than us.”
Built for businesses where the detail matters
Inventory, deferred revenue, multi-channel settlement and job costing are where generic bookkeeping quietly falls apart.
- eCommerce & DTC Channel-level margin, settlement reconciliation, landed cost per SKU.
- SaaS & subscription Deferred revenue, recognition schedules, retention-adjusted forecasting.
- Manufacturing & inventory Cost of goods accuracy, work in progress, purchasing and reorder strategy.
- Real estate Entity-by-entity reporting, depreciation schedules, distribution tracking.
- Professional services Utilisation, project profitability, work in progress and billing cycles.
- Funded startups Investor reporting, runway modelling, audit and diligence readiness.

What that has actually produced
Outcomes published in our own client case studies. Each one came out of the same work: clean books first, then someone senior acting on them.
Results vary by business. These figures are drawn from individual Ledger Labs client engagements and are not a projection of what any particular company will achieve.
Published pricing. Three tiers.

In their words
Three of the reviews behind the firm's 5.0 average. Each names the person who wrote it.
“Ledger Labs found $18K in missed deductions that our old accountant completely missed.”
“My main problem always has been to know my accurate profits — and this is precisely what Ledger Labs helped me with.”
“Gary, the founder, took the time to really understand our business and where we were struggling.”

Founded in 2014, by someone who still reads the numbers
Gary Jain started Ledger Labs after helping friends untangle their books and finding the same gap in every one of them: plenty of record-keeping, nobody senior interpreting it. Twelve years later the firm is 150 people across two US offices, and the founder still sits in on the businesses that need untangling.

How the first weeks go
Onboarding runs four, six or eight weeks depending on the tier. Here is what happens inside it.
- 01 Consultation A short call and an online form. You describe the business and where finance currently hurts; we tell you honestly whether we are the right fit.
- 02 Diagnostic We go through your books, systems and reporting as they stand today, and map how money actually moves through the business rather than how it is supposed to.
- 03 Action plan You get a written plan with scope, the platform and tooling recommendations behind it, and a three-tier proposal so you can choose the depth you want.
- 04 Your team goes live A dedicated lead and the bench behind them take over, on a fixed close calendar and a standing meeting cadence you set.
Questions we get asked first
Something not covered here?
Ask it on the consultation call. It is free, and there is no obligation attached to it.
Usually not. We work across more than 25 accounting, ERP and commerce platforms: NetSuite, Odoo, QuickBooks, Sage, Xero, Shopify and Brex among them. If we do recommend a change, it comes with the reason and the cost attached, in the written action plan, before anything moves.
Onboarding is four weeks on the Bookkeeping tier, six on Controller and eight on CFO. That window covers the diagnostic, any clean-up of historic records, and the handover to your dedicated team, after which the close runs on a fixed monthly calendar.
It can, but it often doesn't. Plenty of our clients keep their internal person for day-to-day entry and bring us in above them for the close, the reporting and the advisory layer. We will tell you which of the two makes more sense for your size after the diagnostic.
A defined scope for a defined monthly fee, with no hidden charges and no onboarding fee, though a one-month retainer applies. There is no hourly meter, so asking a question costs nothing. Fees are revisited as transaction volume grows, and any change is agreed in advance.
Yes. Ledger Labs is a CPA and IRS Enrolled Agent firm, so filings and compliance sit inside the same engagement as the books. Because we see the numbers all year, exposure gets raised while there is still time to do something about it rather than at filing.
Every tier carries a money-back guarantee. Raise it with your dedicated lead first. Most problems are a cadence or scope mismatch that gets fixed in a week, and if it still isn't right, the guarantee stands.
